Infrastructure Integration

Objective's Xlink modules provide integration between Objective and your organisation's infrastructure applications.

Following is list of Xlink modules, in alphabetical order.

AFDA Loader

The Objective Xlink - AFDA Loader provides the ability to bulk load the National Archives of Australia (NAA) Administrative and Functional Disposal Authorities (AFDA) into the Objective system.

Auto Load

The Objective Xlink - Auto Load enables background loading of documents into Objective. Users can save or copy files to a designated area (directory) for loading into Objective. The process monitors the directory for new documents and loads them into Objective. Acceptable destinations for loading documents include (open) files, and any user defined object or folder subtypes.

Data Import

The Objective Xlink - Data Import provides the ability to import data directly into Objective. This assists with importing data from legacy systems or any other large collections. The utility supports both meta data and content import based on XML standards.

Export

The Objective Xlink - Export allows users to select Documents, and/or Folders, Files and have them copied to a selected destination drive outside of Objective, with or without metadata.

Fax Gateway

The Objective Xlink - Fax Gateway allows organisations to automatically add incoming faxes directly into Objective. The system utilises Fax Server technology to monitor all incoming faxes and relocate those Documents into Objective, including naming the Documents based upon the caller identification information provided by the sending fax machine.

Groupwise Mail Capture

The Objective Xlink - Groupwise Mail Capture saves mail messages from Novell Groupwise directly into Objective in a similar fashion to Outlook Mail capture.

HTML Rendition Server

The Objective Xlink HTML Rendition Server allows users to create Renditions in HTML format.

Renditions are read-only ‘archival’ versions of existing native format documents, e.g. Microsoft Word, which are created for long term storage and access to users who may not have the program that they were originally created in.

LDAP Authentication

The Objective Xlink - LDAP Authentication enables Objective to use the LDAP directory protocol to communicate with the directory service (such as Microsoft Active Directory Service or Novell Active Directory Service) to check user names and passwords.

By using LDAP Authentication, no matter where on the organisation’s network a person might be - for example London or New York, users will be able to log into the Objective system using the same user name and password.

LDAP Synchroniser

The Objective Xlink - LDAP Synchroniser performs the task of duplicating information about existing users, groups and user/group memberships from an LDAP compatible Directory into Objective and to synchronise upon repeated runs.

This enables these existing users to be recognised by Objective, including their properties as were stored in the Directory.

The Directory Synchroniser allows additions, removals and changes in the directory to be reflected within Objective, multiple directories are allowed and single sign-on (in the windows environment) between this service and Objective and the directory is supported.

Mail Gateway

The Objective Xlink - Mail Gateway enables users to distribute documents stored in Objective to internal and external users via MAPI and SMTP compliant mail systems.

  • Drag and Drop
  • 'Send Reference To' and 'Send Copy To'
  • Notifications

Objective users can select an object and drag the object over a user's icon to launch a new email message with a Reference to the object. When the user receives the email, they can double-click on the email reference to locate the object within Objective.

Alternatively, the user may select the "Send Reference To" and "Send Copy To" (and draft menu equivalents) menu items to send documents to users not defined in the Objective system.

Other client-based functions include review notification and notifying the requester for Records based request functions (e.g. File Creation, File Part Creation, and Requests).

This service also enables notifications to be sent via e-mail for Approvals, Publication, Requests, and Workflow functions. Where a user has a defined e-mail address, the server will send notification (via email) that: they have a Task to perform; an alarm has fired; they have Documents that need approval, a new version of a document has been published, or a File has been requested. The notification service only supports Users defined in Objective.

Objective Xlink - Notes Mail Capture allows you to save Lotus Notes email directly into Objective. Objective adds three options to the Actions menu to enable easy capture of messages. These options are:

  • Store Message in Objective
  • Store Message and Attachments in Objective
  • Store Attachment in Objective

With all options the Objective client will present an "Add to Objective" dialog that allows the user to direct the email to the appropriate location within the system. The system will also automatically capture all Notes Mail fields and place them in fields within Objective. This enables the retrieval of the message through any of the defined fields.

Notes Publishing

The Objective Xlink - Notes Publishing module provides the ability to publish Objective documents or references to a Lotus Notes Public Database.

Documents or Folders can be set up to allow changes to documents to be automatically published to a Notes Database. Through the use of Objective's Approvals and Publishing mechanisms it ensures that the Lotus Notes Database has approved and up to date information from Objective.

The Objective Xlink - OCR Option adds Optical Character Recognition (OCR) capability to the following Objective Xlink modules:

  • Objective Xlink - Fax Gateway
  • Objective Xlink - Auto Load

With the Xlink - OCR option installed, whenever either of these applications adds a document to Objective, it will also add an OCR'd version of that file. The original file, and its OCR equivalent, are linked in Objective. The text version of the Document allows organisations to perform full-text searching upon information that was previously lost on paper.

OLE Properties

Objective Xlink - OLE Properties allows the user to have full access to document system and catalogue properties within Microsoft Office or OLE Compound Documents.

When editing an Objective document users have an option to insert fields that contain Objective OLE Properties specific to the current document. It is often beneficial in document headers and footers to include fields such as Objective-Id, Version and Objective Title. Some Objective fields can be added to templates to provide a uniform standard for all documents.

The Objective field value can be inserted in a document and can be updated at any time through the normal Office Suite capabilities.

Objective Xlink - Outlook Mail Capture allows you to save Microsoft Outlook email directly into Objective. Objective adds two icons on the Standard toolbar to enable easy access to the options. These two icons can be used to directly store a selected message into Objective. The left icon is used to store the message into Objective, while the right icon can be used to store the message plus its attachments into Objective.

Instead of using the icons, you can alternatively use the options available from the 'Actions' menu. These options are:

  • Store Message in Objective
  • Store Message and Attachments in Objective
  • Store Attachment in Objective

The new message window also provides the ability to "send and store" the message into Objective. With all options the Objective client will present an "Add to Objective" dialog that allows the user to direct the email to the appropriate location within the system. The system will also automatically capture all Outlook Mail fields and place them in fields within Objective. This enables the retrieval of the message through any of the defined fields.

PDF Rendition Server

The Objective Xlink - PDF Rendition Server allows users to create Renditions in Acrobat PDF format.

Renditions are read-only ‘archival’ versions of existing native format documents, e.g. Microsoft Word, which are created for long term storage and access to users who may not have the program that they were originally created in.

Server Publishing

Objective Xlink - Server Publishing enables you to create publishing specifications of a “File System” Distribution Type via the Publishing tab of a Document’s Properties dialog. It can also be combined the Rendition Server to publish content out as Renditions in different formats.

Single Sign-On

Objective Xlink - Single Sign-On eliminates the need for Windows users to have a separate login/password for Objective in addition to their Windows domain login/password.

Windows Authentication

The Objective Xlink - Windows Authentication allows User passwords to be authenticated against a Windows NT primary or backup domain controller (PDC, BDC). This eliminates the need for Users to maintain multiple passwords for Objective and NT systems.
